Access Control to Buildings and Rooms

Access control to the site or company facilities is an eliminatory safety factor. Theft of information or goods from company buildings is made possible by lack of access control. Security 'gate men' and reception staff play a central role in site security.

1. Signing In and Out.


a) All visitors must be met at reception and sign in,
b) giving reception staff their car registration number, if the car is parked on company premises.
c) They must be given a visitor badge which must be worn visibly.
d) At the end of the visit, they must be accompanied back to reception,
e) be signed out and
f) hand back their visitor badge.

2. Unbadged Visitors.


If a member of staff sees someone not wearing a valid badge on your premises,

a) that member of staff should address them in a courteous manner.
b) They should ask if the person is a visitor and if they can be of assistance.
c) Should the individual have no pass, they should be accompanied to reception so that their bona fides can be checked.

3. Unaccompanied Visitors.


a) Visitors must not be allowed to have access to buildings or facilities without being accompanied by a company member. This applies to all visitors, including delivery, repair and maintenance personnel.
b) Visitors must not be allowed to use a photocopier or have access to files, except under constant and uninterrupted supervision.

4. Securing Doors and Windows.


At the end of the working period, all doors, emergency exits and windows should be locked, except such internal ones as are used by security staff.

5. Keys and Key Holders.


a) Persons who hold company keys to must take every precaution against their loss or theft.
b) The fob on which keys are ringed, must neither have the company name and address on it, nor any means of identification which could tell a third party what the keys are for.
c) If company keys are kept at home, the keys should not be kept in an envelope or on a hook bearing company identification.
d) If keys go missing, it should be reported immediately.
